What You'll Need

No coding required. Just point-and-click setup.

Step 1: Connect Google Business Profile to Zapier

  1. Log into Zapier
  2. Click Create Zap
  3. Trigger: Search for "Google My Business" (now called Google Business Profile)
  4. Select trigger event: "New Review"
  5. Click Sign in and connect your Google Business Profile account
  6. Test the trigger (Zapier will pull your most recent review to confirm it works)

You should see your latest review appear. This confirms Zapier is listening.

Step 2: Generate the Reply with OpenAI

Now we tell Zapier: "When you catch a review, send it to OpenAI for a response."

  1. Click the + button to add an action
  2. Search for "OpenAI"
  3. Select action: "Send Prompt" (or "Conversation" for GPT-4o)
  4. Connect your OpenAI account (you'll need an API key from platform.openai.com)
  5. In the Prompt field, paste this:
You are a friendly business owner responding to a Google Review.
Write a personalized, warm thank-you response based on the review below.
Keep it concise (2-3 sentences), professional but human, and mention
specific details from their review.

Model recommendation: Use GPT-4o-mini (cheap, fast, great quality for this task)

Step 3: Post the Reply Back to Google

Almost done! Now we tell Zapier to post the AI-generated response back to Google.

  1. Click + to add another action
  2. Search for "Google My Business"
  3. Select action: "Create Review Reply"
  4. Map the fields:
    • Review ID: {{1. Review ID}} (from Step 1)
    • Reply Text: {{2. Response}} (from OpenAI in Step 2)
  5. Test the action (this will post a real reply—use a test review if you can)

Done! Turn the Zap on.

Step 4: Test It

The easiest way to test:

  1. Ask a friend (or yourself with a different Google account) to leave a test review
  2. Wait 2-3 minutes
  3. Check your Google Business Profile—the auto-reply should appear
